Selling offline, and what that means
The van app is built to keep selling when there is no signal. An invoice raised offline is stored on the device and sent to the system when a connection returns.
Until it is sent it exists only on that device. If the device is lost or wiped before it syncs, that invoice is lost with it.
A sale that reaches the server but cannot be confirmed — because the route was closed while it was queued — is not discarded. It is held and shown as needing attention, so it can be dealt with rather than silently disappearing.
Sync as soon as there is a connection. Do not close a route before the device shows that everything has synced.
Stock on the vehicle
The stock loaded onto the vehicle is held in the system as a location of its own, and every sale, return and settlement moves against that location.
This is why the figures on the device and the figures at the warehouse can be reconciled at all: the van is a place in the inventory, not a gap in it.
What is on the vehicle is the representative's responsibility until it is sold or returned and settled.
Cash held and settled
Cash collected on the route is held by the representative until it is settled. A settlement records what was expected against what was handed in, and the difference is visible rather than absorbed.
A route cannot be closed while a draft invoice remains on it, because a draft invoice is money the settlement cannot see.
A cancelled refund returns the money to the treasury it actually left; it is never deleted, so the record of the correction survives.
Vehicle and route data
The system records which representative opened which route, on what day, what was loaded onto it, what was sold from it and what was settled against it.
That record belongs to the employer and is used to reconcile stock and cash. It is a business record, not a personal one.
The app does not track the vehicle's position continuously.
Which route a sale belongs to
An invoice can only be raised against a route that is OPEN and that belongs to the representative raising it. The route it was raised on is recorded on the invoice itself.
This is deliberate, and it is the answer to the most common dispute on a van route: a sale cannot later be moved to a different day or a different representative, because the attribution was fixed at the moment it was made.
A refusal naming a closed route is the system enforcing that rule, not a fault.

These terms were drafted in Arabic. The Arabic text is the authentic and governing version. The English version is provided as a convenience translation, and where the two differ in meaning the Arabic text alone applies.
